The purpose of this guide is to provide a customizable template for conferences to generate their own Accessibility FAQ page. This information allows potential authors and attendees to decide whether to submit to and/or attend the conference. It should be available at the time the call for papers is issued. Accuracy is extremely important, as some attendees will be relying on it to decide whether to attend. If in doubt, direct questions to the accessibility chair instead of presenting information that may be incorrect.

How to generate your own Accessibility FAQ page

Step 1: Gather the following information:

  • Conference name, location and nearest airport
  • Name and contact information for conference accessibility chair
  • Conference venue name, phone number, email, contact person, and url for their accessibility information
  • Catering contact name and phone number, if applicable
  • Wording of the question on the registration form where registrants should indicate accessibility needs
  • Deadline for accessibility requests
  • Conference policy on registration rates for people who are there as assistants to an attendee with a disability
  • Conference policy on attendance by robot, and how many robots will be supported.
  • Transport options for getting to the conference venue, with phone numbers (be ready to make some calls to get detailed accessibility information from each)
  • Transportation to any offsite events and contact information for these venues
  • A link to accessibility information for the city, including a contact phone number and email
  • What number attendees should call in case of medical emergency, and how far away the nearest hospital is
  • Link to a map of the venue, if available
  • Level(s) of the venue where the conference will be held, and names of session rooms, lunch rooms, reception rooms, as appropriate
  • Text descriptions of the physical layout of the conference space, including the stage, restrooms, and session rooms. Mention steps, elevators and ramps.
  • An estimate of walking distances for a typical attendee, and wheelchair access to the conference areas
  • Whether there will be an assistance animal relief area, and where it will be
  • Smoking and smoke-free areas
  • Areas with an induction loop
  • Whether speakers and attendees asking questions will have microphones

Step 2: Download the file “mustache.js” from: https://github.com/janl/mustache.js/.

Step 3: Place the following wherever you want to display the content (within <body></body>). (This will serve as the container for the page content.)
